Exhibitor Insurance

Each exhibitor is responsible for securing insurance coverage for participation in connection with NCBA’s Trade Show. Exhibitors should have insurance policies covering booth materials and/or equipment transporting from their home base to the show, vice versa, and also during the show. Exhibitors should also have public liability and property damage insurance, including product liability. Check your corporate insurance policy. Most policies will provide riders for such coverage at trade shows. Certificates are to name National Cattlemen’s Beef Association as additional insured with policy date through February 8, 2014. Coverage should be for comprehensive general liability of at least $1,000,000 per personal injury for each occurrence, $500,000 for property damage for each occurrence and full compliance of Workmen's Compensation. Exhibitor Kit, Housing & Registration opens on September 23

The online exhibitor kit, housing & registration for exhibitors will open on Monday, September 23.
All booth personnel must be registered by January 10 or they will be charged a late fee. Exhibiting companies receive four (4) complimentary registrations for each 10x10 space purchased.

Convention Housing Scam Alert!

**IMPORTANT CONVENTION HOTEL RESERVATIONS ALERT**

It has been brought to our attention that a company called Global Events Group has been contacting exhibitors claiming it can secure hotel rooms through our room blocks. This company is NOT AUTHORIZED to represent the Cattle Industry Convention or NCBA, NOR do they have access to officially contracted hotel room blocks or rates at any of the convention hotels.
 
Please be aware that other non-official housing companies may target you to make hotel reservations for the 2014 Cattle Industry Convention and NCBA Trade Show.  NCBA has contracted the Nashville Housing Bureau to be their sole hotel reservation services company for Cattle Industry Convention in Nashville, Tennessee.
 
Securing rooms with any other company other than NCBA 's Official Housing Bureau is at your own risk.  There have been instances in the past when similar companies have gone out of business after taking the reservation and deposit, leaving individuals without hotel rooms and lost deposits.  NCBA will not be held liable for any issues resulting from booking any rooms outside of the official 2014 NCBA Housing Block.
 
The Official 2014 Cattle Industry Convention & NCBA Trade Show Exhibitor Housing & Registration will open September 23, 2013.

NCBA Show Colors


  • 8’ high back drape consists of panels of flax and brown.
  • 36” high side rails are brown.
  • Aisle carpet will be Latte (brown/black mix).
  • Other colors of pipe and drape may NOT be substituted for show colors.

Booth Carpet is NOT included in your rental fee. Floor covering in your booth space is required. You may provide your own carpet or work through Freeman, our official decorator, for carpet rental during the show. The Exhibitor Kit and order forms will be available at the end of September.

Trade Show Invoices

Just recently you may have received an invoice indicating a July 20, 2013 due date. When I ran the invoices, it populated a due date 30-days from the day that I ran the invoice. According to our rules, payment is due on September 1, 2013, but since that is a Sunday we’ve actually moved due date to Monday, September 2, 2013.

I apologize for any confusion this has caused.

Here is the actual cancellation policy: NCBA reserves the right to cancel exhibit space if full payment on a contract has not been received by September 1, 2013, or within 30 days of invoice, whichever comes last. Written notice of space cancellation must be submitted to NCBA prior to October 1, 2013, for a 50% refund of the monies paid. No refunds will be made for cancellations after this date.

Our Exhibitor Services Department will gladly prepare your outbound Material Handling Agreement and labels in advance. Be sure your carrier knows the company name and booth number when making arrangements for shipping your exhibit at the close of the show.
